Getting document templates

A template is a pre-formatted page in which the content, title and so on can be edited without further formatting. Many documents follow a set style and so it can be useful to have a <emphasis>template</emphasis> of a particular type of document. Many templates are available from the Internet.

A collection of templates are available for download from the OpenOffice.org <ulink url="http://documentation.openoffice.org/Samples_Templates/User/template/index.html">Samples and Templates website</ulink>, and also from the <ulink url="http://ooextras.sourceforge.net/">OOExtras website</ulink> and <ulink url="http://www.kde-files.org/index.php?xcontentmode=630x631x632x633x634">KDE-Files website</ulink>.

Most templates designed for <trademark>Microsoft Office</trademark> should also work. Microsoft Office templates are available from many different sources.

People cannot open documents which I have sent to them

If you have sent a document to someone but they are unable to open the document, it is likely that they are using Microsoft Office. Microsoft Office cannot currently open documents created in the default OpenOffice format, which is called OpenDocument.

You can save your documents in a different format so that Microsoft Office users can open them:

Open a document in OpenOffice

Press <menuchoice><guimenuitem>File</guimenuitem><guimenuitem>Save As...</guimenuitem></menuchoice>

Press <guilabel>File type</guilabel> and select a Microsoft format from the list. For example, choose <guilabel>Microsoft Word 97/2000/XP</guilabel> if you have a text document.

Press <guibutton>Save</guibutton> and then send the file to people as normal.

To make Microsoft Office formats the default:

Open an OpenOffice application and press <menuchoice><guimenuitem>Tools</guimenuitem><guimenuitem>Options...</guimenuitem></menuchoice>

Expand the <guilabel>Load/Save</guilabel> option in the column on the left and then select <guilabel>General</guilabel>.

Under <guilabel>Default file format</guilabel>, select a type of document from <guilabel>Document type</guilabel> and select a Microsoft format from the <guilabel>Always save as</guilabel> option.

Repeat this for different types of office document, such as spreadsheets and presentations, and then press <guibutton>OK</guibutton>. All new documents which you create from now on should be saved in one of the formats you chose.

How can I create copies of my documents in PDF format?

The PDF format is commonly used to distribute documents to other people, and can be viewed on the vast majority of computers. PDF files cannot be edited, so your document is protected from alterations.

To output a copy of a document as a PDF file:

Open your document and click <guibutton>Print</guibutton> (normally found under <menuchoice><guimenu>File</guimenu><guimenuitem>Print</guimenuitem></menuchoice>).

On the <guilabel>General</guilabel> tab, select the printer named <guilabel>Print to File</guilabel> from the list.

Several options should appear beneath the list of printers. Select <guilabel>PDF</guilabel> as the <guilabel>Output Format</guilabel> and choose a filename and location for the PDF file.

Press <guibutton>Print</guibutton>. A PDF file will be created in the location that you specified.

The procedure above will work in almost all programs on Ubuntu. In OpenOffice, however, the procedure is different:

Open your document in OpenOffice and press <menuchoice><guimenuitem>File</guimenuitem><guimenuitem>Export as PDF</guimenuitem></menuchoice>.

In the window that appears, click <guibutton>Export</guibutton>.

Choose a filename and location to save the PDF file and click <guibutton>Save</guibutton>.

Finding clipart to use in documents

Clipart is a picture or drawing used to illustrate a document. Follow the instructions below to install and use a selection of clipart in <application>OpenOffice.org</application>:

Open an <application>OpenOffice.org</application> application and press <menuchoice><guimenuitem>Tools</guimenuitem><guimenuitem>Gallery</guimenuitem></menuchoice>. A list of available clipart should appear.

Browse the clipart until you find an item that you would like to use. To insert the item, either drag it into the document or right-click the item and press <menuchoice><guimenuitem>Insert</guimenuitem><guimenuitem>Copy</guimenuitem></menuchoice>.
